Artists and artwork

Yes. Choose Visual Artist when you add a website, or check it later in that website's Site Settings, General, under What this website is. Once one of your websites is a Visual Artist website your account has the Art Studio: an artwork archive connected to your Podspun website, plus collections, viewing rooms, contacts, sales, invoices, income, locations, exhibitions, a schedule, and reports. It keeps every creator feature, including social imports, newsletters, contacts, payments, the store, analytics, and the website builder.

Open the Art Studio’s Pieces section and add each artwork once. The record holds the catalog details, images, availability, price, location, condition, valuation, provenance, exhibition and publication history, acquisition, sale, consignment, loan, rights, and private notes. Drafts stay private. Published records build the website's Works page, series pages, Available Works page, and individual artwork pages automatically.

A collection groups works: a series, a year, or an art fair, and one work can be in several. Manage them in Collections and check works into them from the Pieces editor. A collection shown on the site becomes its works’ public series label and series page, and its description appears on that page. A collection kept off the site is a private grouping.

A collection can be part of a larger one, such as a series of paintings inside Paintings. Open the collection and choose the larger one under Part Of, or use the list under Order On Your Website on the Collections page: drag a collection to the right to put it inside the one above it, and to the left to take it back out. To do several at once, tick them, press Set selected and choose Put inside a collection. Your website then lists the larger collection only. Its page shows all of its works together, and the collections inside it appear under the decades as a filter. No artwork changes collection when you do this, so taking a collection back out puts everything as it was.

To split your artwork across two pages, each with its own list, add a second page with an Artwork Archive block in the Website Builder. On each block set Automatic View to Chosen Collections and tick the collections that page lists. A work's own page then shows the list of the page it belongs to.

To change many works at once, open Pieces. The Collections column lists every collection each work is in. The All collections filter shows the works in one collection or in several at once, and Shown and hidden narrows the list to works that are on your website or off it. Tick the works, press Set selected, and choose Add to a collection, Move to one collection (they leave every other collection), or Take out of a collection.

To change the order your website shows works in, press Arrange on Pieces. Your works appear as small pictures: pick a collection and drag a picture to a new place. The order saves as soon as you drop it. Click a picture to choose it, then use Edit Image to crop it or set its focal point. Hold Cmd (Mac) or Ctrl (Windows) and click to choose several, or Shift and click to choose a run, then drag one of them to move them all. The eye on a picture shows or hides that work on your website.

The same editor opens from the Website Builder. Open your Artwork page in the Website Builder and press Edit Gallery above the works. You can also click a collection in the preview and drag a work right on the page.

Add places in Locations (your studio, galleries, fairs, storage) and link each work to its current location from the Pieces editor; every move is written into the work’s history. Add shows in Exhibitions with their dates and which works were in them. Submission deadlines, invoice due dates, consignment and loan return dates, and your own reminders all land on the Schedule.

No. Current Location and Private Notes are inventory fields for you and your team. Public pages only use the artwork's title, year, medium, dimensions, description, series, images, availability, and the price setting you chose.

Yes. Open Art Studio, Site Settings and set Artwork Page Style to Classic. Your Artwork page then lists your collections down the left (A to Z, or in your own order from Collections), and once a visitor picks one, All and the decades under them. The works show as small pictures in three columns, each captioned with its title in italics and its year. Each work's page keeps the same list on the left, with the title, Zoom and previous and next arrows along the top, the picture whole, and its title, year, medium and size under it. To open the Artwork page on one picture before a collection is chosen, set Opening Picture and Opening Picture Caption on the page's Artwork Archive block in Website Builder. Modern, the default, shows larger pictures with the details beside each work.

Yes. Open Art Studio, Site Settings and set Artwork Thumbnails to Square. Every work on your Artwork page then fills the same square box, so tall, wide and small works line up in one even grid. A picture that is not square is cropped to fit. The crop keeps the center of the picture, or its focal point when it has one. To set it, open the work in Art Studio, Pieces, and click the picture under Images. Whole picture, the default, shows all of each work in its own shape.

Fitted also shows all of each work, with no cropping, and puts every work in one box shape so the grid stays even. The shape is worked out from the works being shown: a list of mostly upright works gets an upright box, a list of mostly wide works a wide one, so the pictures fill their boxes as far as they can. A different collection or decade can take a different shape.

The setting covers the Artwork page in both the Classic and Modern styles. A work's own page always shows the whole picture.

To make the pictures larger, set Thumbnail Size on the same screen to Medium or Large. That covers the Classic style, which shows three works across. In the Modern style, the Columns setting on the page's Artwork Archive block sets the size: fewer columns, larger pictures.

Yes. Open Art Studio, Collections. Under the list, Order On Your Website sets how your collections are listed on your website's Artwork page and on each work's page. A to Z lists them by name. Your own order shows them as a list you drag into place, so a series can come first. Press Save order to apply it.

Only collections shown on your website are in the list. A private collection is not on the website, so it has no place in the order.

Yes. Open the page that shows your work in Website Builder and select its Artwork Archive block. Order sets how the works are listed: Your Own Order, Newest Added, Title A to Z, Title Z to A, Year, Newest First or Year, Oldest First. Order shows when the block's Artwork Source is Automatic. A Manual block keeps the order its works were chosen in.

The two year orders read each work's Year, so a work dated 1974, 1970's or 1987-1990 is placed by the first year written. A work with no year is listed last. Works of the same year keep the order you gave them in Art Studio, Pieces, Arrange. A work's previous and next arrows follow the same order as the list. Under Year, Newest First the decades in the filter and on the Classic list are listed newest first too.

Works are dragged into place on the page only when Order is Your Own Order. Under any other order the page does not follow a dragged place, so Website Builder shows which order the page is in.

Yes, in the Classic style. Open the page in Website Builder, select its Artwork Archive block, and add an entry under Other Pages In The List: a label, and a link to a page of your website or to another website. The setting shows when the block's Artwork Source is Automatic, and it applies when Automatic View is All Artwork or Chosen Collections. Those links are listed first, before your collections, on the Artwork page and on each work's page. A page of your website opens inside the list: the list stays on the left with that page marked, and the page's own content shows where the works would be. A link to another website opens in a new tab.

Use it for a page that belongs with the collections but is not a collection, such as a page of scrapbooks or a film.

Yes. Open the page that shows your work (Works on most artist sites) in Website Builder and select its Artwork Archive block. Set Show Filter to Yes, then choose Filter By: Collections and Decades, Collections Only, or Decades Only. Visitors then see two dropdowns above the works, Collection and Decade, in a bar that stays at the top of the window as they scroll, and the page shows only the works that match their choice. A work opened from a filtered view has Previous and Next links that stay inside that collection and decade, and a Back to button that returns to it. The collections are the ones in the Art Studio’s Collections section that are shown on the website. The decades come from each work's Year, so a work dated 1974 or 1970's is listed under 1970s. New artist sites start with the filter on. Works Shown At First on the same block sets how many works appear before a Show more button (20, 40, 60 or 100). Each press of Show more adds that many again, and a new filter choice starts again from the first set. All works, on one continuous page has no button: the page adds the next 40 works by itself as the visitor scrolls down. Beside the dropdowns, the page shows how many works match, and an X next to that number clears both choices.

Yes. Each artwork has an Artist field. Open a work in the Art Studio’s Pieces section and type the artist’s name; names already used on the website are offered as you type, so an artist is spelled the same way on every work. Leave the field blank when every work on the website is by the same artist.

When a work names an artist, the name shows with it on your website: on the work’s own page, under its title in grids and lists, in viewing rooms, and on the certificate and inventory PDFs. The Pieces list gains an Artist filter, and its search finds works by artist.

A CSV import reads an Artist column, and the CSV export includes it. If every row in a file names the same artist, the import asks whether to show that name with each work, because an artist’s own export usually repeats their name on every row.

To give each artist a page of their own on the website, make a collection for each artist and add their works to it.

Yes, two ways. The most complete is Artwork Archive's own CSV export, which carries private fields a public page never shows: in Artwork Archive, open Pieces, choose Bulk Actions, then Export to CSV. The file appears under Reports/Docs, in Reports, as “Piece Export (CSV)”; download it there, then upload it in the Art Studio’s Import section, where its column names are recognized. The second way: paste the address of a public Artwork Archive profile and Podspun reads its pieces, details, and images for you to review before anything saves. A password-protected profile cannot be read that way.

Yes. Open the Art Studio’s Import section. Upload a CSV, a ZIP containing a CSV and its images, or an image-only ZIP; a CSV exported from Artwork Archive is recognized too. Podspun proposes records first so you can review and edit them before saving. It matches existing works by inventory number, or by title and year when there is no inventory number. New records stay draft unless you explicitly publish them.

That covers the artworks themselves. Your collectors, sales, income, locations and exhibitions are separate exports in Artwork Archive and come across through Import your records, on the same screen.

Yes. Artwork Archive keeps a separate export for each part of your studio, so your pieces are only one of six files. Open the Art Studio’s Import section and choose Import your records, then hand over the export files together or the ZIP they came in.

It brings across your collectors with their company, phone and postal address, your sales with the date, price, commission and fees and who bought the work, your income and expenses, the galleries, museums and storage your work sits in, and your exhibitions. Each sale stays attached to the piece it was for and the person who bought it. Nothing is saved until you approve the summary.

Import your pieces first, on the CSV or ZIP option above it. Anything that names a piece you have not imported yet is reported rather than saved wrong, and attaches itself when you run the import again.

Every section of Artwork Archive has its own Export to CSV: Contacts, Sales, Income, Locations and Exhibitions each carry a button on their own page, and your pieces come from Pieces, then Bulk Actions, then Export to CSV.

Artwork Archive does not hand you the file straight away. It builds each one and puts it under Reports/Docs, in Reports, named for the section it came from. Download them there, then upload them to Podspun together.

You do need to be signed in to your own Artwork Archive account to export, which is the point: the export carries the private records that your public profile page never shows.

Yes. Open a work in Pieces, turn on Sell online, add its price and quantity, and choose whether it appears on the Works page, in the Store, or both. Podspun creates and keeps the store listing in sync with the artwork record. The artwork page can show Buy now or Add to cart, using your existing Stripe connection and shopping cart.

Store Listings shows every artwork currently offered online. When a work sells, Podspun updates its availability and quantity, records the buyer as an Art Studio contact, and adds the sale to Sales and Income.

Under standard terms, Art Studio artwork listings carry 0% platform commission. Stripe processing is separate. Merchandise and digital products keep the standard store fee; an agreed custom commerce rate takes precedence. Mixed carts apply the artwork rate only to verified artwork listings.

Open Sales and choose Record a sale, or use the Record Sale link on the work in Pieces. Choose the work, the buyer, the price, and any fees or commission. Recording it marks the work sold, fills its sale summary, writes the change into its history, and the revenue appears in Income. Donations and gifts record the same way.

Yes. Open Invoices and build the invoice from archive works or free lines such as framing and shipping. Each invoice gets the next number in your sequence, a tax percentage if you charge one, a due date, and a PDF.

Connect your Stripe account in Payments, then choose Create payment link on an unpaid invoice. Share the link with your client. They can pay without signing in. Confirmed payment marks the invoice Paid, records the artwork sales and other invoice income, and updates the available artwork stock. The invoice currency and amounts stay fixed while its payment link is active.

Choose Stop payment link before editing an unpaid invoice or using Mark paid for money received elsewhere. A paid Stripe invoice keeps its payment record and cannot be edited or voided. Voiding an unpaid invoice stops its payment link and keeps its number in your records.

Art Studio Contacts and Email Campaigns use the same person record. Art Studio adds collector or gallery details, purchase history, private notes, and tags. Turn Send email off in the artist contact when someone should remain in your records but not receive campaigns.

In the Art Studio’s Viewing Rooms section, choose any published or draft artworks. Your Artwork lists the archive: type in the search box to find a work by title, year, medium, type, or collection, or choose Show Filters to narrow the list by Availability, Artwork Type, Medium, Collection, Edition, Location, Sale Location, Client, Viewing Room, Exhibition, or Website. A filter appears once your records have something for it to sort by. Choose a work to move it to In This Room, or use Add all to move every work the search and filters left. A room holds up to 100 artworks. Add an introduction and a note for each work, decide whether to show price and availability, and optionally set an expiration date. Activating the room creates a signed private link. Replacing the link invalidates the old one immediately. Viewing rooms are kept out of search engines.

Yes. Open an artwork record and choose Certificate PDF to download a certificate with the work's image, catalog details, certificate number, issue date, and signature line. A viewing room downloads as a presentation PDF, an invoice as an invoice PDF, and the Reports section builds inventory, available works, and consignment PDFs.

Open Art Studio, Reports. Archive Spreadsheet includes all works, including archived records, in a spreadsheet-ready file. Studio Backup adds structured artwork and studio records plus the stored artwork image files.

Choose Prepare Backup, then download every numbered ZIP part. Each part carries a manifest identifying the complete set, along with the record files. All parts are required for the image archive. A change to the records between downloads requires a new preparation. Missing or unowned image references prevent preparation, and a failed file download stops that part.

A backup contains the image files still retained in your asset library. It cannot recover an upload original that was resized or replaced earlier. Website pages and unrelated account contacts are outside this studio backup. Inventory, Available Works and Consignment reports include every draft and active work in their selected scope; use PDF Without Images for large image-heavy reports.

Artspun includes art inventory and an artist website. Starter is $49.00 a month with one website and up to 800 non-archived artworks. Existing accounts keep their selected plan.

Professional is $79.00 a month with one website, up to 2,000 non-archived artworks and 1,000 subscribed email contacts. Managed is $149.00 a month with the same software allowance plus 30 minutes of consulting or light changes each month. Unused assistance does not roll over. Migration, data cleanup and larger projects are quoted separately.

The Artspun add-on is $30.00 a month on Professional, or $100.00 on Managed. These replace each other and remain monthly on a yearly base plan. Above the included email allowance, the standard email tier uses the total subscribed contact count.

Enterprise starts at $399.00 a month, with unlimited artworks and services scoped to your collection. Ask for a collection quote. Art Studio artwork listings carry 0% platform commission under standard terms; Stripe processing is separate. Open Billing, Plan Details, find Artspun Artwork Allowance and choose your Artspun Plan. A confirmation shows the recurring add-on and the charge due today before anything changes.

An upgrade within a paid cycle charges only the additional monthly allowance prorated for the remaining days. Returning to an allowance already paid for in that cycle does not charge it again. Before your first paid cycle, the selected add-on is included in the first bill. New visual artist accounts start with Professional; existing accounts retain their selected tier.

To downgrade, your non-archived inventory must fit the destination allowance. Current-cycle payments are not refunded. The lower recurring amount starts on your next bill.

Every artwork in your Art Studio that is not archived counts, across all the websites on your account. Drafts count, and so do works you have hidden from your website, because the allowance is for your inventory and not only for what visitors see.

Archived artworks do not count. Their records are kept, and you can restore one from the Archived filter when you have room. Collections, contacts, sales, invoices, locations, and exhibitions have no limit.

The Art Studio dashboard shows how much of the allowance you have used.

Your existing records remain available to edit and your website keeps working. Adding a work, restoring an archived work or importing new records stops when the account reaches its allowance. The message links to Billing, Plan Details.

Archive works to make room, or move from Starter to Professional for up to 2,000 works. Managed has the same capacity and adds monthly assistance. Larger collections can use a quoted Enterprise plan with unlimited artworks.

Yes. Open Site Editor Chat in your website editor and ask for article ideas. It reads your Instagram and TikTok posts, the topics they cover, the articles already on your site, and what visitors searched for. Pick an idea and it writes a full article from those posts, with your photos placed where they fit, a search title, and a description. It saves as a draft until you publish it.

Yes. Upload your Artwork Archive piece export, then review the mapped artwork fields and image matches before saving. A plain CSV or a ZIP of images works too. Use Import your records for a separate reviewed upload of Artwork Archive collectors, sales, income, locations and exhibitions. Migration assistance or data cleanup beyond included monthly help is quoted separately.

No. Each piece sets its own price display: an amount, price on request, or nothing at all. You can also mark a work as not for sale, reserved, or sold, and the page follows.

Yes. A piece can be a draft or archived, which keeps the record in your inventory and off the website. A Viewing Room shares selected works through a private link, with an optional expiry date. Anyone with that link can open the room until it expires.

Both use one set of artwork records. Manage the inventory in the Art Studio, choose what is public, and publish the website from those records. Viewing Rooms let you share selected works with collectors and curators.

Add the piece in the Art Studio, check its details and choose whether to publish it. Each published piece gets its own website page from the inventory record.

Yes. Export all artwork records as CSV, including drafts and archived works. A studio backup includes structured inventory and studio records, related contacts and stored artwork image files in ZIP parts. Download every listed part for the complete backup. Earlier uploads that were resized or replaced cannot be recovered, so keep your original files too.

Artspun has four plans. Starter is $49 a month for up to 800 non-archived artworks. Professional is $79 a month for up to 2,000, with email for up to 1,000 subscribed contacts. Managed is $149 a month for the same software and capacity, plus 30 minutes of help each month. These monthly prices include one website. With annual billing, the fixed base is billed yearly and Artspun add-ons stay monthly. Enterprise starts at $399 a month with unlimited artworks and a service scope agreed in your quote.

Original works linked to Art Studio artwork listings carry a 0% platform commission under standard terms. Payment processor fees still apply. Merchandise and other store products use their standard fees. A custom commerce agreement takes precedence over the standard commission policy.

Professional and Managed include email for up to 1,000 subscribed contacts. Above that allowance, the published email tiers apply to the full subscribed contact count. Starter uses the published email tiers.

Each work has an Artist field, and the artist's name shows with the work on your website, in Viewing Rooms, and on certificate and inventory PDFs.
